The optional AI receptionist answers phone calls for your business — it can greet callers, answer common questions, and help book appointments when you can’t pick up. Because it handles real conversations with real customers, it’s worth understanding exactly what happens to that information.

When the AI is used

The AI receptionist only works if you turn it on and route calls to it. If you don’t use it, none of the call handling below applies to your business.

What information the AI uses

To answer a call helpfully, the AI works with:
  • The caller’s phone number.
  • What the caller says during the conversation.
  • Your business setup — services, hours, and booking rules you’ve configured.
To understand speech and respond, this information is processed with the help of an AI/voice provider.

Is the call stored?

Your team can review AI call history inside the CRM so you don’t miss a booking or a question.
  • Transcripts (the text of the call): Call records are kept so you can review them in the app.
  • Recordings (the audio): Audio recordings may be stored only when call recording is enabled for your workspace. If recordings are stored, they are used for call review, quality control, and resolving customer questions. If your workspace does not enable recording, only call metadata and transcript-level information may be available.
Retention: AI call transcripts and recordings are retained while your account is active unless deleted earlier by your team or through a support request. We are finalizing a configurable retention policy and will update this page when workspace-level retention controls are available.

Who can see AI call history

Only your own team members with permission can view your AI call history — it’s part of your private workspace, just like your customer list. See the AI Call History guide to learn how to review calls.

Is my data used to train AI?

We do not use your customer data to train Auto Detailing CRM models. Your calls and customer information are used to run the service for you — not to build or improve AI models we sell to others. Third-party AI and voice providers process call data only to provide the call-handling service, subject to their service terms and data-processing settings. We are documenting the exact provider-level retention and training controls and will update this page with the final details.

Deleting or exporting AI call history

You can remove AI call records you no longer need from within the CRM. For a full export or bulk removal of call history, contact support@autodetailcrm.com.

The limits of AI

The AI receptionist is a helpful assistant, not a guarantee. It can mishear names, numbers, or details — especially on a noisy line. Always review important information (appointment times, contact details, special requests) before relying on it. For anything sensitive or high-value, a human call-back is the safe choice.
