# Quote Portal

> Publish a secure customer quote link, collect a clear response, and keep approval tied to the exact revision reviewed.

Quote Portal gives the customer one protected place to review an estimate and
respond. It works beside the ordinary quote PDF and manual status actions, so
you can choose the sharing method that fits each customer.

<Info>
  Quote Portal is available when it is included in your workspace plan. If you
  do not see the action on a quote, check **Settings → Account** or ask the
  workspace owner about plan access.
</Info>

## What the customer can do

After verification, the customer can:

* Review the quote items, prices, adjustments, dates, and total
* Download the same branded quote PDF available inside the CRM
* **Approve** the current revision
* **Decline** the current revision
* **Request changes** and include a required comment

The customer response updates the quote status and appears in your portal
activity. Your team also receives a notification with the quote number and
customer name.

<Warning>
  Quote Portal approval is a recorded response to an exact quote revision. It
  is not an electronic signature, and it does not convert the quote to an order.
</Warning>

## Before you publish

Confirm that the quote has:

* The correct customer and vehicle
* The final services, quantities, discounts, fees, and tax
* A valid date and expiry date when you use one
* At least one customer phone number or email address for verification

The portal uses the contact details saved with the published revision. A
customer cannot replace the destination with a different phone number or email
address from the public page.

## Publish and send the link

<Steps>
  <Step title="Open Quote Portal">
    Open the quote, choose **Quote Portal**, and review the current quote status.
  </Step>

  <Step title="Publish the quote">
    Choose the link expiry and publish. The CRM freezes the customer-visible quote
    as a revision and prepares its PDF. Publishing moves the quote to **Sent**.
  </Step>

  <Step title="Choose a delivery method">
    Use **Copy link**, **Send by text**, or **Send by email**. Text delivery uses
    your workspace SMS allowance. The link is also shown as selectable text, so you
    can copy it manually if clipboard access is unavailable.
  </Step>

  <Step title="Follow the response">
    Return to Quote Portal to see views, sends, PDF downloads, the current response,
    and **Portal activity**. On mobile, tap the activity heading to expand the list.
  </Step>
</Steps>

## Customer verification

Before verification, the page shows only your business identity, a general
explanation, and masked contact choices. It does not reveal the customer name,
quote number, line items, totals, comments, or PDF.

The customer chooses an available method:

* **Text message** sends a one-time code to the saved phone number
* **Email** sends a one-time code to the saved email address

After a correct code, the protected quote opens in that browser. Codes expire,
and repeated failed attempts or rapid resends can temporarily lock verification.

## Responses and quote statuses

| Customer action | Quote status | What your team should do |
| - | - | - |
| **Approve** | **Accepted** | Review the approval, then convert to an order when the shop is ready |
| **Decline** | **Declined** | Follow up only when appropriate or leave the quote as a historical record |
| **Request changes** | **Changes Requested** | Read the comment, edit the quote, and publish the replacement revision |

Your team can also mark a quote **Accepted** manually. Both customer and staff
acceptance are recorded against the current quote content rather than treated
as approval of every future edit.

## What happens when you edit an approved quote

You can continue editing a quote after acceptance. The CRM protects the approval
record instead of locking the quote permanently.

| Action | Result |
| - | - |
| Customer approves the current portal revision | Quote becomes **Accepted** and the exact approved revision is recorded |
| Staff marks the current quote **Accepted** | Staff acceptance is recorded for the current content |
| You change customer-visible scope or pricing | Working quote returns to **Draft**; the earlier approval remains visible as an older-version approval |
| You change internal-only information | Current approval remains current |
| You publish the replacement | Quote becomes **Sent** and the same customer link opens the new revision |
| Customer approves the replacement | The new revision becomes the current approval |

<Tip>
  You normally do not need to send a different URL after correcting a quote.
  The existing link follows the newly published revision. If the verification
  contact changed, the customer must verify the new destination.
</Tip>

## PDF consistency

The portal does not use a separate quote design. **Download PDF** produces the
same ordinary branded quote PDF as the staff quote action, with a readable
filename based on the quote number and customer name.

## Revoke access

Choose **Revoke link** when the customer should no longer be able to open the
portal. Revocation stops that link from serving the quote. If you later need a
customer portal again, publish a new link and send the new URL.

Revoking a link does not erase historical revisions, responses, approvals, or
activity from your workspace records.
